Plan commitments by available funding

Every payment has a purpose, a fund and a date before it happens. Payroll, rent, program costs, contracts and the reserve, all placed on the map with a running balance from day one to day 365. You see what you can afford before you say yes.

Restricted funds stay restricted

Each grant keeps its own lane and its own safe-to-commit number. Money never leaks between funds, and every transaction sits by fund with a running balance, so the numbers behind a funder report are already there.

Three things change against a map: an amount comes in different, a date moves, or something is spent that was not planned. Each one is flagged when we receive your update, the plan recalculates, and the change goes in the log with who accepted it.

    The 30-minute call

    Bring the intake list: bank balances by account; payroll amounts and dates; rent, insurance and other fixed bills with due dates; open invoices, grants and pledges with expected dates; contracts with payment schedules; the cash floor you never want to cross; and the three things you are trying to reach, such as months of runway, a hire or a reserve.

    We build the plan

    Every commitment goes on the calendar with its date and its purpose. The plan runs forward twelve months and shows where cash gets thin. We recommend the moves that keep payroll, taxes and rent covered and reach your goals in order. You review the plan before the first pack.

    Your pack lands

    A PDF each month: the six pages, the next moves in order, and a change log. Weekly next moves are optional. Send Monday’s bank balances and the moves come back by Tuesday.

The service works today without it, and organizations on the service now shape what it becomes.

Nothing moves without you

NavFi recommends the move. A person on your team makes it. Payroll, taxes and rent are locked and never moved by a recommendation.

Read-only connections, planned

When bank and accounting connections open, they will be read-only: NavFi will see balances and transactions and will not be able to move, send or withdraw money. Today, you send us the numbers.

Your data is never sold

Never shared with advertisers or used to market other companies’ products to you. The pack is yours.

Works with your accountant

Cash basis. NavFi prepares entries for your accountant to review. They still close the books, file and sign off. Planning, not tax, legal or investment advice.

Before you book.

Is this software or a service?

Today it is a service. The NavFi plan engine builds the plan, and a person on the NavFi team runs the call, checks the plan and sends the pack. The web dashboard is in development. When it opens, the pack and the next moves stay part of it.

Do we need clean books or QuickBooks?

No. NavFi plans from what you already know: balances, payroll, bills, grants and invoices with expected dates. What actually happens is treated as a change to the plan, not a reason to stop. Clean books make the plan better. They are not required. QuickBooks Online, Xero and Plaid connections are planned and will be read-only.

What do we send you?

The intake list, on the call or by email: bank balances by account; payroll amounts and dates; rent, insurance and other fixed bills with due dates; open invoices, grants and pledges with expected dates; contracts with payment schedules; the cash floor you never want to cross; and the three things you are trying to reach. A bank export helps and is not required.

How fast is the first pack?

We set the date on the call, usually timed to your next board meeting. Most first packs land within two weeks of the intake. After that, monthly, on the date you choose. Weekly next moves are optional and come back the day after you send Monday’s balances.

Does NavFi replace our bookkeeper or accountant?

No. NavFi runs on a cash basis and prepares entries for your accountant to review. Your accountant still closes the books, files and signs off. Accruals, depreciation and the audit stay with them.

What does it cost?

Per organization. We share the rate on the call, and early organizations keep their rate. No card is needed to book the call.

What if we spend outside the plan?

It is flagged as soon as we receive your update, usually the Monday balance or the month-end statement. You say what it was, it is logged with who approved it, and the pack shows it plainly next to what was planned. Amounts that differ and dates that move are handled the same way.

Do you work with startups or small businesses?

Not yet. NavFi for Nonprofits is the focus, because the pack format has been through a nonprofit board. A for-profit pack, with revenue lines and a 13-week view, comes after the nonprofit pilot. Tell us on the form and we will let you know when it opens.

What about the dashboard?

It is in development and the service does not depend on it. Organizations on the service now are the first in when it opens, and the plan we have built together carries over.
